Viraj Institute of Medical Science is a paramedical and physiotherapy institute located at Agamkuan Main Road, Chhoti Pahari, Patna 800007, Bihar, operated under Green Life Foundation, registered under the Bihar Educational Trust Act. - Enquiry details — when you fill an enquiry or application form on our website, on Google, or on Facebook/Instagram, we collect your name, mobile number, email address (if provided), the course you are interested in, your qualification, and your city or district.
- Calls and messages — when you call our toll-free number 1800-419-8443 or message us on WhatsApp, we record your phone number, the date and time, and the content of the conversation. Calls to our helpline may be recorded for quality, training, and record-keeping.
- Admission documents — if you apply for admission, we collect the documents listed in our admission checklist (marksheets, certificates, Aadhaar copy, photographs, and, for Non-Attending applicants, proof of healthcare employment).
Information collected automatically
- Website usage — like most websites, we use cookies and similar technologies (Google Tag Manager, Google Analytics, Meta Pixel, Google Ads tags) to understand how visitors use our site: pages viewed, approximate location, device and browser type, IP address, and which advertisement or search brought you here (including click identifiers such as GCLID).
- Server logs — our hosting provider keeps standard access logs (IP address, timestamps, pages requested) used for security and troubleshooting.
How we use your information
- To respond to your enquiry — our counsellors call, message, or WhatsApp you about the course you asked about, eligibility, fees, and campus visits.
- To process your admission and maintain your student record with the affiliating university.
- To send you relevant updates about admissions, sessions, and deadlines.

- To measure whether our advertising is working, so we spend responsibly on the channels that genuinely help students find us.
- To detect and prevent spam, fraud, and misuse of our forms.
We ask for your consent at the point of collection — for example, when you submit a form — and we use your information only for the purposes stated here.
Advertising and analytics partners
We advertise on Google (Search and Display) and Meta (Facebook and Instagram). To measure and improve these campaigns we may:
- Use their measurement tools (Google Analytics, Google Ads conversion tracking, Meta Pixel) on our website;
- Share limited enquiry outcomes back to these platforms — for example, that an enquiry led to a campus visit — using hashed (scrambled) identifiers such as a hashed phone number or email. The platforms use these only to match against their own records for ad measurement and to show more relevant ads; they cannot read the hashed values otherwise;
- Build advertising audiences from hashed contact lists (for example, to stop showing admission ads to students who have already enrolled).
We do not sell your personal information to anyone, and we do not allow these platforms to use your details for their own independent marketing.
Your controls: you can manage cookies in your browser settings, adjust ad personalisation at Google My Ad Center and in Meta Ad Preferences, and opt out of Google Analytics with the GA opt-out tool.
Who we share information with
- Service providers who help us operate — our CRM (lead-management) system, cloud-telephony provider for the toll-free line, WhatsApp business messaging, website hosting, and Google Workspace. They process data only on our instructions.
- The affiliating university, examination bodies, and regulators — as required to enrol you and issue your degree, diploma, or certificate.
- Advertising platforms — only as described in the section above (hashed, for measurement).
- Authorities — if required by law, court order, or to protect the safety and rights of students and staff.
How long we keep it
Enquiry records are kept as long as needed to assist you with admission and for our internal records, after which they are deleted or anonymised. Records of enrolled students are retained as required by the university and applicable education regulations. Call recordings and website analytics are retained for limited periods set by our service providers’ standard cycles.
How we protect it
Your data is stored on access-controlled systems. Our website uses HTTPS encryption, our forms include anti-spam and rate-limiting protections, and access to enquiry and student records is limited to the admissions team. No system is perfectly secure, but we take reasonable security safeguards as required under Indian law.
Your rights under the DPDP Act, 2023
- Access — ask us what personal data of yours we hold.
- Correction — ask us to fix inaccurate or incomplete details.
- Erasure — ask us to delete your data where we no longer need it.
- Withdraw consent — stop counselling calls or WhatsApp messages at any time by telling the counsellor, replying “STOP” on WhatsApp, or emailing us.
- Grievance redressal — raise a complaint about how your data is handled; we will respond within the timelines prescribed under the DPDP Act.
To exercise any of these rights, email admission@vimscollege.com with the subject line “Privacy Request” and the mobile number you used with us, so we can locate your record.
Students below 18 years
Our courses are meant for students who have passed Class 10 or Class 12. If you are below 18 years of age, please involve a parent or guardian when submitting an enquiry or application — under the DPDP Act, we process a minor’s personal data on the basis of verifiable parental or guardian consent, which we confirm during the admission process. If you believe a child has submitted information to us without a guardian’s knowledge, contact us and we will remove it.
Third-party links
Our website links to external sites (for example, UGC circulars, news articles, and our social media pages). Their privacy practices are their own — this policy does not cover them.
Changes to this policy
We update this policy when our practices or the law changes. The effective date at the top always reflects the current version. Significant changes will be announced on this page.
